Step 1 — Brief the day before (or morning-of), not as the first guest rings
Walk the plan once: guest-kid count and ages, arrival window, party end time, and who the host parent is for the afternoon. Step 2 — Name guest kids vs her role — and pass allergy notes you already hold

Step 3 — Set supervision boundaries before the door opens
Say plainly who owns active supervision of guest kids (you / another adult / her for a named zone only). Visiting parents should not treat her as free babysitting for siblings they bring; you set that line. Step 4 — Decide gift help, cake moment, and a hard cleanup end
Whether she helps unwrap gifts, collect cards, plate cake, or stays off the living-room floor during the birthday song — name it before guests arrive. After the last child leaves, set a cleanup end time (e.g. party mess reset by a named hour; leftover decorations wait until morning if you prefer). Step 5 — Flag rest-day impact and soft wind-down with visiting parents
