MOM does not say whether employer records must be digital or paper; what matters is that you can produce them. The clearest rule is salary: if you pay your helper in cash, keep salary records signed by both of you, because MOM may ask to see them. Paying into her bank account gives you a digital trail automatically. Keep the employment contract, safety agreement, insurance and bond papers, and rest-day arrangements too, in whatever format you can find quickly.
Records worth keeping
| Record | Why | Practical format |
|---|---|---|
| Salary payments | MOM may ask for signed records if you pay cash | Signed paper slip, or bank transfer records |
| Written consent to any salary deduction | MOM requires her agreement before you reduce salary | Signed paper, scanned copy |
| Employment contract | Encouraged by MOM; sets salary, rest days and notice | Signed copy each |
| Safety agreement | Required; you, she and the agency keep a copy | Signed paper, scanned copy |
| Security bond and insurance policies | Needed before arrival and at renewal | Insurer's e-documents |
| Rest days | Update the number in FDW eService after you agree with her | FDW eService plus your own note |
| Overseas leave tickets | MOM's Ask Jaya column advises keeping her flight or ferry ticket for a levy waiver | Photo or e-ticket |

Digital or paper?
- Bank transfer is the simplest salary record. MOM encourages paying salary into her bank account; she should be able to use the account herself.
- Paper works for signatures. Scan or photograph signed pages so a lost sheet is not a problem.
- Do not keep her bank book or card as part of your records. MOM forbids holding her money or bank documents.
A simple filing routine
- One folder, paper or cloud, per helper.
- Each month: the salary record, signed or a bank transfer screenshot.
- Each renewal: new bond and insurance documents, the renewed permit.
- Keep records after she leaves too, in case of a later query or claim.
